Booking a Meeting Room in London? What Monument Businesses Should Check First

When you’re comparing meeting room hire in the City of London, you’ll want to make sure the space works for your specific requirements. That means enough room for everyone to sit comfortably, screens that connect easily, plenty of natural light, privacy for important conversations and clear pricing upfront. Catering options can also make a big difference for longer meetings. Get those things right and the room does its job, so you can focus on yours.

Here’s what to consider when choosing a meeting room, whether you’re hosting a client pitch, interviews or a team workshop near Monument, Bank or Tower Hill. We’ll also look at how our meeting rooms at Us&Co Monument compare.

Capacity: Book for The Meeting You’re Actually Having:

Ensuring you’ve got the right size room is actually more important than you think. A room that’s too small can quickly feel cramped, whereas one that’s too big can make a small team meeting feel more formal than you perhaps aimed for.

Always count everyone attending, including anyone joining for part of the session, and choose a room that gives everyone enough space to sit comfortably. For workshops and collaborative sessions, it’s worth allowing a little extra room to move around.

At Us&Co, our Monument meeting rooms cater for groups of 6, 8, 10 or 16:

  • Meeting Room 4 (6 people): ideal for interviews and smaller client meetings
  • Boardroom 3 (8 people): well suited to presentations, video calls and brainstorms
  • Boardroom 2 (10 people): a larger option for board meetings and team discussions
  • Boardroom 4 (16 people): our largest meeting room, with plenty of space for workshops and larger team sessions

Check the screen, Wi-Fi and AV setup:

Nothing slows down a presentation or client pitch like arriving to find your laptop won’t connect to the screen. Before booking, always check what screen is available and how devices connect to it. In today’s age, it’s also worth checking if the room can support anyone joining remotely. Reliable Wi-Fi matters too, particularly if you’re presenting online, sharing large files or running a workshop.

Us&Co’s Monument rooms include full HD screens and fast Wi-Fi. Meeting Room 4 has a 55-inch HD screen, while Boardroom 2 features a 65-inch HD screen.

For hybrid meetings, Meeting Room 4 and Boardroom 4 can also be set up with a 360-degree camera and built-in Bluetooth speaker, helping remote attendees see and hear more of the room.

If technology is an important part of the session, it’s worth confirming your exact requirements when you book rather than leaving it until the meeting begins.

Don’t overlook natural light and the room itself:

Whilst the facilities on offer are important, don’t overlook the physical environment of the space, as usually this can have just as big an impact, especially when it comes to longer meetings.

Natural light can help a room feel less enclosed, particularly during workshops, planning sessions, or meetings lasting several hours. Privacy and soundproofing are equally important when discussing confidential information or conducting interviews.

Here at Us&Co, our Monument meeting rooms offer natural daylight and soundproofing. Several of our rooms also benefit from great views across the city to admire during breaks.

For businesses comparing meeting room hire in the city of London, these details are worth considering alongside price and location. A comfortable room can be just as important as having the right screen.

Make sure the location works for everyone:

A central location becomes particularly important when clients or your team are travelling from different parts of London. Having easy transport links to the London Underground is always a benefit in ensuring everyone can find the meeting room easily. If attendees are unfamiliar with the area, always send the full address and nearest station with the meeting invitation rather than relying on the venue name alone.

Our Monument offices are based at 7 Harp Lane, London EC3R 6DP, putting them within walking distance of several major stations. Monument is around a three-minute walk away, Tower Hill around five minutes, Fenchurch Street around six minutes, with Bank, Cannon Street and London Bridge also approximately ten minutes away.

That makes the location useful for businesses based around Monument and Bank, as well as visitors travelling into the City from elsewhere.

Check what refreshments and catering are available:

Ensuring you have appropriate refreshments and snacks for your meeting is a great way to keep people energised and engaged throughout the day. For a one-hour meeting, drinks may be all you need; however, for a morning workshop or a session running over lunch, catering becomes much more important.

If food is needed, confirm the options when booking so you know what can be provided for the size of your group and whether dietary requirements can be accommodated.

Tea, coffee, biscuits, and still and sparkling water are included with Us&Co meeting rooms, while additional catering packages are available on request.
